Personal information

Quasydoc developed the software as a service “Quasydoc” (Quality System Documentation) that provides the process management in quality management system and ERP-system (hereinafter referred to as “the Software”).

If you make use of the website Quasydoc, the Software or enter customer data in the Software, Quasydoc will process the entered personal information (“personal information”).

The lawfulness of the processing and the security and confidentiality of personal data is essential for Quasydoc.

Quasydoc takes care of your personal information in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 april 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing of Directive 95/46/EC (the so-called General data Protection Regulation (GDPR)).

The processing of personal data

The term “personal data” includes any information about an identified or identifiable natural person, such as your name, identification number, your location, your IP address, your contact details, personal characteristics, health data , but also the contracts you’ve concluded and other documents that allow to identify you.

The term ” Processing” means every possible action with regard to your personal information that can be undertaken, from collecting to destroying them.

Quasydoc is responsible for the processing of your personal data. For the processing of data that Quasydoc executes on your command, purely by using the Software, and particularly in the cases that you enter personal information in the Software, you are responsible for the processing of this personal data. It concerns the processing of personal data from your employees or employees for whom you created a user account and the personal data of your customers, suppliers, relationships etc. that you enter in the Software.

Processing of personal data for which Quasydoc is responsible

You are free to share/not to share your personal information with Quasydoc . Please note that certain services, the conclusion of an agreement and the access to the Software can be denied if you don’t submit this information to Quasydoc.

You are solely responsible for the accuracy of the information you communicate to and/or enter in Quasydoc.

Quasydoc collects your personal data that you have communicated, regardless how this is done (ao. the personal data of your contact person in the context of an agreement or through the form on the Q- website) and if this is necessary for the performance of a contract or the protection of the legitimate interests of Quasydoc.

In addition, Quasydoc collects certain information through Cookies. This is defined in the Cookie policy.

Processing of personal data by Quasydoc for the benefit of its customers

Quasydoc also processes the personal data entered by you or your employees in the Software.

These processing operations are based on the (processing-) agreement between you and Quasydoc.
If Quasydoc processes personal data for you, you are responsible for the correct collection and processing of the personal data. Quasydoc is therefore not responsible for the legality of the processing by and on behalf of its customers.

Targets for the processing of personal data

Processing of personal data for which Quasydoc is responsible

In the first place Quasydoc processes the personal data from your contact with regard to its contractual obligations. In this case, Quasydoc will process your personal data for the following purposes:

  • Taking measures to verify the (personal) data upon registration, as well as making precautions for the security of personal data;
  • The transfer to the delivery and invoicing of the products and / or services offered by the Software;
  • The technical administration of the Software, as well as the management of the customer administration.

Quasydoc will also process your personal data if this is necessary to look after the legitimate interests of Quasydoc, in the case of the following purposes:

  • The exercise of fundamental rights of Quasydoc, including for the filing of a legal claim;
  • Avoiding fraudulent use of the Software;
  • Prospecting and marketing.

Furthermore, by agreeing to this privacy statement, you give Quasydoc permission to process the personal data that you have communicated via the contact form on its website or in the context of the agreement for the following purposes:

  • to contact you in order to answer your question or comment;
  • providing up-to-date information about any offers or novelties;
  • after having made the personal data anonymous, to compile statistics with regard to the number of visits of the different parts of the website;

The personal data collected through cookies will only be used by Quasydoc for simplifying your use of the website and for collecting statistical data relating to the use of the website. This allows us to analyze the traffic of our domain and to improve the website. Cookies are never used by us for advertising purposes. Furthermore Quasydoc processes the personal data of your contact person in order to prevent and detect misuse or fraud and to ensure compliance with laws and regulations.

Processing of personal data by Quasydoc for the benefit of its customers

If Quasydoc processes personal data for the benefit of its customers, it will only proceed to the processing of this personal data on the basis of the written instructions from its customers. Quasydoc also has the permission of its customers to use subcontractors for the execution of its assignment (so-called “under processors”).

Purposes not provided in this privacy statement

If Quasydoc intends to carry out a processing of your personal data for a purpose that is not provided for in the privacy statement, it will contact you, at the contact address of the contact person specified by you, in order to inform you of this new processing and its purpose, whereby you have the possibility to refuse this processing.

Confidentiality

All personal data will be kept strictly confidential and will in no case be communicated to third parties, unless Quasydoc has obtained the explicit, prior permission or if the data are communicated to external technical service providers of Quasydoc in order to make the Software operational.

The withdrawal of your consent

If the processing of personal data takes place on the basis of the permission granted by you, it can be withdrawn by you at any time by means of a purely written request, provided proof of identity.

Such withdrawal of your consent is not possible for the processing operations that take place on the basis of another legal basis described above. The withdrawal has no influence on the legality of these processing operations.

Moreover, the withdrawal of your consent does not affect the lawfulness of the processing that has already taken place based on your consent before the withdrawal.

Duration of the storage of personal data

All personal data is stored for a period necessary for Quasydoc to achieve the purpose of the processing and / or to fulfill its contractual obligations.

Quasydoc will keep your personal data up to five years after you are no longer a customer and / or you no longer wish to access the Software, except for special legal provisions that provide a shorter or longer term.

The personal data processed by Quasydoc to respond to the question / comment submitted through a form on its website, will be retained by Quasydoc for a maximum of one year (after sending the message).

Your rights

Right of inspection, improvement and erasing data

You have the right to request Quasydoc to inspect your personal data, to correct incorrect or incomplete personal data or to erasure your personal data. Such erasing of personal data is not possible if the processing of your personal data is necessary for the realization of or the execution of the agreement between you and Quasydoc or for the exercise or substantiation of or the defense in the context of a legal claim.

Limitation of processing

In certain cases you have the right to obtain the limitation of the processing, if you dispute the accuracy of the personal data, if the processing is unlawful and you object to the deletion of the personal data and if you need the personal data for setting up, exercising or substantiating a legal claim while Quasydoc no longer needs the personal data for processing purposes. Quasydoc will only store your personal data if necessary.

Transferability of personal data

You have the right to obtain or transfer the personal data relating to you and that you have provided to Quasydoc. Such acquisition or transfer is not possible if the processing of your personal data is necessary for the realization of and / or the execution of the agreement between you and Quasydoc or for the exercise or substantiation of or the defence in the context of a legal claim.

Automated decision-making

You have the right not to be submitted to a decision based solely on automated processing if this has legal consequences for you or affects you to a considerable extent. This is not possible if this decision is necessary for the realization or the execution of the agreement between you and Quasydoc, when this decision is based on your consent.

Objection

You have a right of objection against the processing of your personal data (1) which is necessary for the legitimate interests of Quasydoc, provided that there are reasons specifically related to your situation and (2) for direct marketing. Such an objection is not possible if the processing of your personal data is necessary for the execution of the agreement between you and Quasydoc.

The exercise of your rights

You can exercise these rights by sending a dated, written or electronic request with a copy of your identity card to Quasydoc or, if necessary, providing a supplementary statement.

If Quasydoc is of the opinion that you are not entitled to exercise one or more of these rights, it will notify you in writing.

Quasydoc cannot fulfil the requests for the exercise of the rights with respect to the processing of personal data for which it is not responsible. She can only provide you with assistance in this.

Safety

Quasydoc has developed security measures that are technical and organizational-oriented, to prevent the destruction, loss, falsification, modification, unauthorized access or notification by mistake to third parties of your personal data collected on the Website and / or the Software or in any other way as well as any other unauthorized processing of your personal data.

In no event Quasydoc can be held responsible for any direct or indirect damage resulting from the incorrect or unlawful use by a third party of your personal data.

Quasydoc is not responsible for the content of third-party websites referred to on its website or for the products or services mentioned on these websites. Complaints

If you believe that the processing of your personal data by Quasydoc would violate the provisions of this privacy statement or the GDPR, you have the right to file a complaint with the Data Protection Authority.
